Planning joiner and leaver automation

Identity automation starts with an agreed access policy and a trustworthy lifecycle event. The goal is to grant the right access and remove it at the right time, with exceptions visible to the people responsible.

01

Map roles to access

Inventory the applications, directory groups and account types involved. Establish who owns each access rule and which permissions require individual approval. Existing group membership is useful evidence, but should not automatically become the policy for every new employee.

02

Separate policy from approvals

Define default access by role or department, then identify additional access that needs a manager or application owner. Record the decision and apply access after approval. Plan for rejected requests, absent approvers, role changes and failed provisioning.

03

Use the right effective time

A single office closing time is not a sufficient offboarding rule for a global workforce. Agree effective dates, time zones and shift-related exceptions with the responsible teams. Planned departures and urgent access revocation need distinct, explicitly authorised handling.

04

Verify each downstream outcome

Removing a group is not proof that every application session or account is disabled. Identify which systems inherit directory access and which need their own action. Record outcomes, surface failed removals and define manual follow-up for unsupported applications.

05

Pilot and measure a defined batch

Test representative roles, approval paths and exceptions before wider rollout. Measure the same batch size and start/end points when comparing manual and automated work. Separate elapsed processing time from staff effort, and retain the conditions behind any published result.

06

A useful first delivery

A first phase can include an access-policy matrix, lifecycle mapping, a limited set of connectors, approval handling, operational logs and an exception queue. The exact controls depend on the systems and responsibilities agreed during discovery.
